PA Office Manager

Based: Kilmarnock, East Ayrshire

Salary: Up to £35,000 per year

Contract term: Permanent

Working Hours: Full Time - 40hrs per week, Monday to Friday

My client is a very successful engineering company based in Hurlford. They are looking for a PA/Office Manager

Job Purpose:

To provide full administration support to the CEO, including diary management, travel bookings.
Additional responsibility for all aspects of the day to day running of the office, answering and directing telephone calls, general office administration and general support to colleagues as and when required.

Key Areas of Responsibility:
• Provide administrative support to the CEO
• Manage the diary of the CEO
• Act as the first point of contact for the office, dealing with queries, correspondence, and general administration
• Communicate the CEO’s instructions or requests to various departments,
• Manage and attend meetings, putting together and agreeing on the agenda, taking minutes at meetings, and ensuring the follow-up in the required timescales
• Co-ordinate and book travel arrangements and plan itineraries,
• Co-ordinating arrangements for meetings and industry events. Attend all meetings and take accurate minutes which can be distributed to those in attendance,
• Organise and expedite the flow of work, initiating follow-up action where appropriate,
• Undertake other work as may be required, which is consistent with the nature of the job and commensurate to the level of responsibility and to willingly lend support to colleagues when required.

Qualifications & Skills Required:

• Minimum 3 years Office Manager/ PA experience.
• Must have excellent attention to detail, good literacy / numeric skills.
• Ability to work alone on their own initiative with strong interpersonal skills as well as the ability to work under pressure and to tight deadlines.
• Manufacturing or rail industry experience is desirable.
• Excellent IT skills
• Proficient user of Microsoft packages; Word, Excel
• Ability to manage changing priorities and workload.
• Ability to be flexible and adaptable with a good attention to detail.
• Confident, determined, and reliable nature.
